General
How do I convince my Committee or Board?
Sign up for the 60 day free trial. You will have all the time you need to test and demonstrate the benefits of Club2ic and also time enough to process through a couple of committee meetings.
Are past members charged for in the annual fee?
No. Only current members are counted when calculating the annual fee for using Club2ic. Past members remain in the database and can be reactivated at any time. The first year's fee is based either, on your member numbers after the 60 day free trial, or we will trust you to estimate your likely numbers.
Is Club2ic a financial system?
No, but it does keep an audit trail of membership fees transactions which can be very useful for reconciling with your bank account.
What happened to Promato?
Promato had a name change and became Club2ic in February 2012. What has not changed is the super but simple functionality and great support.
Set up
How are Member Types defined?
Use the Member Types option in the menu. There can be any number of types.
What are Club Codes and how are they defined?
These are variables that are used to record custom data about members. e.g. key number, team membership, skill level. A Club can define up to 6 club codes in the menu Club Setup. The club codes can also be used in the Advanced Search and the Adhoc report.
Can membership data be imported?
Yes. Members can be imported from a spreadsheet.

Printing
Problems with page overflow
If the first line is printing too high, or low, on the page, then; on the print preview window, look for the Page Setup and change your Top Margin.
Printing sticky labels
Printing of labels is often a hassle due mainly to alignment problems and the subtle differences between printers. It is best to first do a test print on plain paper and check the spacing. Also see the previous question re page overflow.
Emailing
Finding out who an undeliverable email was for?
People often change their email address and forget to tell everyone. The Advanced Search function allows you to quickly find who belongs to any failed email addresses (i.e. undeliverable or bounced). You do not have to enter the whole email address - any part of the address is fine (e.g. searching for hotmail will find everybody with a hotmail address).
How to list members who do not have email addresses?
Use the Advanced Search function and put the word nothing in the email box. Similarly use the word anything to list all members who do have an email address.
What is the maximum size of an attachment?
3 mb.
Can I use Club2ic to email a single member?
Yes. There is an Email member button on the member profile page.
Can a club email address be used to send emails?
Yes. Define your club email address (e.g. secretary@mygreatclub.com) via the menu Email Options. A standard email signature can also be defined.
Fees processing
What and when is the year end?
The year end is the date at which membership subscriptions to your club expire. In Club2ic it is called the Fees Renewal Date. It can be any date and is defined in the Fees Renewal menu. It needs to be updated before you start taking subscriptions for the new year. e.g. If it is now August 2011 and memberships expire on 1st September, then you would update the Fees Renewal Date to 1st September, 2012.
What happens in the year end process?
After updating the Fees Renewal Date to next year, a process is run to reset all members, who are no longer financial, to Unpaid. They are still considered current members but with a Fees Status of Unpaid. If a member does not rejoin then you can set their Status to Past and they will no longer be counted in the Dashboard statistics.
Can Part payment of fees be recorded?
Yes. When capturing the fee payment, select Part Paid as the new fees status. Part Paid members are counted separately in the Dashboard and can also be selected in the Advanced Search.
How can Free memberships be recorded?
Club2ic uses a Fees Status of Honorary to record members who do not pay for their membership. Honorary members are counted separately in the Dashboard and can also be selected in the Advanced Search.
